Can I use my existing phone and fax numbers?
Answer
Yes. During the set up process we will discuss various options called "call forwarding" and "porting".

What does an office lease include?
Answer
Local phone line and phone (you will be billed for long distance calls), phone number, voice mail, broadband internet connection, 24/7 access to your office, 6 hours of building conference room usage. Most offices also include furniture; however, some offices are leased unfurnished.

Additional services vary depending on the membership plan you choose.

Additional tenants in the same office will be billed $50 per month.

You may provide your own furniture (with our prior approval). You may not remove furniture from the office.

How does long distance work?
Answer
If you are in one of our facilities you will have to enter a long distance code to make a long distance call. We will give you this code when you sign up.
Also, if we need to make a long distance call to call on your behalf we bill you for the cost of that long distance call.

Answer
Your voice mails are converted into a .wav file and are automatically emailed to you. Double click on the attachment and listen your voice mail. You can then forward or save the attachment.
Faxes are handled the same way except that the fax is converted into a .tiff file.

What is the copying and faxing policy?
Answer
Copies, faxes or prints are charged at $.10 per copy.

How do I get or move an (800) number?
Answer
We can port your existing number onto our system. This takes several weeks. We can also get you a new (800) number if you need one.

What are the hours of operation?
Answer
Most of our locations are accessible by members 24/7. Our receptionists answer calls from 7:30am to 5:30pm Monday through Thursday, 7:30am to 5pm Friday, and 8:30am to 4:30pm Saturday. We do not currently answer phones on Sunday.

We are closed on New Years Day, Memorial Day, Fourth of July, Labor Day, Thanksgiving, Christmas Eve and Christmas Day.

What Calls count against my plan or do I pay for if I exceed my plan?
Answer
All calls answered by a receptionists that are 6 seconds or over are billable.

How do I get into each location after hours?
Answer
We have a networked access card system. You can access any location with it.
Question
What is the difference between "porting" a phone number and "forwarding" a phone number?
Answer
With “Porting” we will permanently move your current phone number on to our system while you are a member with us. The benefit is that you no longer have to pay your phone bill for that number.
With Forwarding you press the appropriate buttons on your phone to temporarily forward your number to us so we can answer it. The good news is that you have a lot of flexibility; the bad news is that you still get a phone bill.

What is the drop in policy?
Answer
Members may drop in and use a designated drop in station or an available conference room for up to one hour per day on a space available basis. Anyone paying for a conference room always has priority over a drop in user. Reservations may not be made for drop in usage. Drop in is intended for member use only. Reservations should be made for client meetings. All reservations are billable. Conference rooms are billed in half hour increments.

What is the referral policy?
Answer
We pay $100 for any referral that becomes a member. We also frequently give away prizes simply for sending a referral our way. Read our newsletter for the current drawing and prize information.

How do invoices work?
Answer
We invoice on the first of each month and each invoice has two parts. The first part bills for the upcoming month’s base membership plan and/or rent; the second part bills for any non-recurring costs such as actual conference room usage, long distance, copying, outgoing packages and mail, etc.

What are my payment options?
Answer
Most members pay their bill automatically using a checking account or credit card. The charges are billed on the 10th of the month so you have time to review your invoice.
Payment is always due no later than 25 days after invoice.

What happens if I pay my bill late?
Answer
Payment is due 10 days after the invoice date. In you are on our Auto Bill Credit Card Program your credit card will be billed automatically on the 10th of each month. Any outstanding invoices that are not paid by the 11th day are subject to a late fee of 10% of the outstanding invoice. A thirty dollar ($30) fee will be assessed for your returned check. If your account becomes more than 15 days past due, Office Evolution reserves the right to send all calls directly to voicemail, change your voicemail password, remove access card permissions and take any other such actions as may be appropriate. If your account becomes more than 45 days past due, Office Evolution may terminate your membership.

Individual office leases may be treated differently.

Can I have multiple phone numbers and business address?

Yes. We can answer the phone numbers any way you want or answer them all the same way. It is up to you.

Terms and Conditions
This Master Service Agreement (the “Agreement”) is a contract for all goods and services Office Evolution may provide you (the “Client”). Additional fees and policies are detailed in the Optional Services and Terms page and are incorporated herein by reference.
Your service will be governed by this Agreement, unless amended in writing. This Agreement is effective on the date provided above. You will be invoiced on the 1st business day of each month. Each invoice will have two sections including 1) the upcoming month's base service fee and, 2) the prior month's calls, conference room usage and other non-recurring additional services. Payment is due 10 days after the invoice date. If you are on our AutoBill Credit Card Program your credit card will be billed automatically on the 10th of each month. Any outstanding invoices that are not paid by the 25th day are subject to a late fee equal to the greater of $5 or 1.5% of the outstanding balance. A twenty-five dollar ($25) fee will be assessed to the member for each returned check. Office Evolution reserves the right to assess cancellation fee for conference reservation no-shows. If you terminate this Agreement prior to your contract term, you will be subject to a $100 termination fee plus a fee equal to one month of your base rate. Any termination by the Client requires 30 days’ written notice to Office Evolution. If your account becomes more than 30 days past due, Office Evolution reserves the right to send all calls directly to voice mail, change your voice mail password, remove access card permissions and take any other such actions as may be appropriate. If your account becomes more than 60 days past due, Office Evolution may terminate this Agreement. Except to the extent prohibited by law, if Office Evolution increases the charges included in this Agreement, or modifies a material term of this Agreement, Office Evolution will notify the Client of that modification or increase. If that modification or increase is materially adverse to the Client, the Client may terminate this Agreement without paying a termination fee by following the termination instructions in the notice. The Client agrees that the minimum term of any agreement is for 3 months. All month to month contracts require a 3 month initial commitment and are automatically renewed on the first business day each month thereafter unless written notice has been provided to Office Evolution per the contract terms. Notice of termination must be submitted in writing to the following address: 4845 Pearl East Circle, Suite 101 Boulder, CO 80301. Office Evolution reserves the right to terminate any contract (including annual contracts) with 30 days notice if in Office Evolution's sole judgment the Client is operating in any fraudulent, unlawful, harassing, excessive, harmful, obnoxious, disrespectful, or abusive manner or so as to adversely or negatively impact our customers, employees, business, ability to provide quality service, reputation, or any other person. Except for any written warranty that may be provided, and to the extent permitted by law, all services, products, and third-party products are provided “as is,” and without warranties of any kind, either express or implied, including without limitation, warranties of title, merchantability, or fitness for a particular purpose, all of which are hereby expressly disclaimed. The Client agrees to indemnify and hold harmless Office Evolution and its employees and officers from and against any loss, liability, cost, or expense (including reasonable attorneys’ fees) arising from or related to the Client’s business, activities, or omissions, whether conducted on or off any premises owned, leased, operated, or occupied by Office Evolution. This Agreement is the final and entire agreement between the Client and Office Evolution and may not be modified other than in writing signed by Office Evolution
