At Office Evolution Troy, we see businesses at all stages of growth. Some members stay with us for years. Others join for a shorter season while they test, transition, or restructure their work life. Both are completely normal.
Recently, a member moved out after a relatively short stay. There was nothing unusual about the decision itself. She was winding down her practice and exploring how coworking fit into her long-term plans. Coworking gave her flexibility, access to services, and significantly less commitment than signing another traditional commercial lease. From a business perspective, it was a smart and practical choice.
What’s worth talking about came after the move-out.
One of the things members appreciate most about Office Evolution Troy is flexibility. Our private offices are designed to feel personal and professional. Members are welcome to decorate their offices, hang artwork, paint walls, and bring in their own furniture. We want people to feel comfortable in their space, especially those who regularly host clients or team members.
That flexibility is intentional — and it’s paired with a clearly defined responsibility.
Our member service agreement outlines that while customization is allowed, any damage to the space must be repaired. This includes excessive holes in walls, unauthorized paint, or anything that requires labor and materials to return the office to standard condition. This isn’t a hidden clause or an unexpected rule. It’s part of how we ensure consistency, quality, and fairness for every member.
Coworking spaces operate differently than traditional commercial leasing. In a conventional lease, spaces often sit vacant for extended periods, and renovations are infrequent. In a coworking environment, offices turn over quickly. A space that’s vacated this week may be occupied again very soon.
That speed makes standards critical.
When a new member walks into their office for the first time, it should feel clean, professional, and ready to use. Smooth walls, fresh paint, and a neutral, polished environment are part of what defines a premium workspace. These details directly impact how members feel about their business, their clients’ first impressions, and the overall perception of the space.
Allowing damage to carry over from one occupant to the next doesn’t just affect aesthetics — it erodes value.
After this office was vacated, our team inspected the space to prepare it for the next member. The inspection revealed extensive wall damage that required repair before the office could be reassigned.
Repairing walls properly takes time, materials, and labor. If this work is outsourced, repainting and repairing an office typically costs several hundred dollars. In this case, the repairs were handled in-house, requiring a half day of work to patch, sand, and repaint the space so it met our standards.
A portion of the member’s service retainer was applied to cover those repair costs. This approach is consistent with how we handle similar situations and aligns with the agreement members sign at the start of their contract.
The purpose of a retainer isn’t to penalize members — it exists to cover the real, predictable costs that arise when a physical space is used and transitioned.
We’ve seen many examples of members handling move-outs responsibly. Some proactively ask whether they should repair minor damage themselves or prefer that our team handle it. Others leave their offices in excellent condition with minimal work required. Those situations make transitions seamless for everyone involved.
Clear expectations and accountability protect the experience for current members, future members, and the business as a whole. When standards are enforced consistently, no one is surprised, and the quality of the environment remains high.
Office Evolution Troy is intentionally positioned as a clean, professional, and comfortable workspace. Maintaining that standard requires consistency — not only in how spaces look, but in how policies are applied.
When expectations are clear and upheld, members know exactly what they’re getting. New clients receive offices that feel fresh and well cared for. Existing members benefit from an environment that reflects professionalism and attention to detail.
